Quick start guide
Prerequisites
When creating maintenance types (e.g., oil change) you select the asset types to which it will apply. By default assets are created with the type: Default
By creating your own custom asset types you can create logical groups for your assets



Maintenance
For assets to show their maintenance status, you first need to create maintenance types and assign it to the desired Asset types.
ADD MAINTENANCE TYPE

- (4) Add the name of your maintenance type
- (5) The intervals count as ‘conditions’ that will change the maintenance status of your asset. You can have multiple intervals running in parallel. If any of the condition thresholds are hit, the status will be changed. All conditions will be reset after maintenance has been done.
– Left Column – Service Threshold
– Right column – Due threshold
Example:
Service threshold(s) – 365 days OR 15.000 km
Due threshold – 14 days OR 500 km
If the asset has driven 10.000 km and the last oil change was 300 days ago, the maintenance status of the asset will be ‘Healthy’
If the asset has driven 12.000 km and the last oil change was 352 days ago, the maintenance status of the asset will be ‘Due Soon’ because the ‘14 days’ due threshold has been hit (365 – 14 = 351 days)
If a Work order is created that has passed the current date, the maintenance status of the asset changes to ‘In Workshop’.
If no Work order is created, the maintenance status of the asset changes to ‘Overdue’ until a work order will be created.
(6) Select which asset types to apply the maintenance type to. Select all asset types to apply it to every asset.
You can view and edit (details) all your maintenance types under the Types tab

You can view the maintenance status on all your assets and maintenance types under the Due tab.
🟢 Healthy – The asset is in good condition; maintenance is not yet due.
🟠 Due Soon – Maintenance is approaching based on defined thresholds.
🟣 In Workshop – A work order is scheduled and ongoing, but not yet completed.
🔵 Planned(coming soon) – A work order is scheduled for the future, but service hasn’t started yet.
🔴 Overdue – Maintenance is overdue; no valid or completed work order is present.

ADD WORK ORDER
A work order represents a service maintenance or repair which can be planned in advance. You can add multiple Work order items under one work order. For each work order item you can select a maintenance type, so you can complete maintenance types in one work order.
If the Date start has passed the asset will have the status in workshop. You can set the work order to Completed if the maintenance/repair is done.
Example:
Work order item 1 – Maintenance type: Oil replacement
Work order item 2 – Maintenance type: Bougie
Work order item 3 – Maintenance type: Tire replacement

You see all your work orders Under the Work orders tab

You can now see the status change and Threshold reset reflected under the Due tab.

You can also see the status in your tracker(asset) page under the maintenance tab.
If you delete the work order item the status will be recalculated which can change the status back to (over)due.
On this page you can also ‘quick select’ a Work order item (Service item) for the asset, which will automatically be completed.

In your account dashboard you will see an interactive overview of the Maintenance status of all assets.

In your maintenance dashboard you will see the cost per month/asset/type, maintenance status, and expected maintenance calendar. You can filter by account name.
