Glossary of Terms

Account

An entity under a reseller, managed by one primary user. Accounts own assets and organize them logically. A reseller can have multiple accounts.

Asset

An Asset refers to anything being monitored or managed in the fleet — most commonly a vehicle, but it can also be a trailer, cooled container, or other transport equipment.
It represents the physical object that the Tracker is installed in and whose movement, condition, or usage is being tracked.

Asset Group

A custom grouping of assets, created to organize and filter assets by operational logic. Example groups:
Region A
Leased Assets
Own Assets

Asset Type

A custom list of logical types to categorize assets. Example types:
Heavy Truck
Light Truck
Car
Trailer
Container

Company

An sub-entity that relates to a specific organisation within an account. Companies can have their own asset assignments, useful for fleets shared across business units or subsidiaries.

Date End

The end date of the same event types. It defines the completion point of a trip, service, assignment, etc.

Date Start

The start date of an event such as a trip, work order, driver assignment, etc. Used throughout the platform to track timelines

Hardware Type

The type or model of tracker hardware. Defined by the reseller or inventory manager. Helps differentiate between different GPS devices, such as:
OBD-II Plug Tracker
Engine-Installed Tracker

Inventory Status

The current status of an asset in the inventory lifecycle.
Possible statuses:
Activated Installed and in use
Installed Installed but not activate
Inventory Available but not installed
Decommissioned Retired from use
Lost / Wasted / RMA Supplier / Unknown Various non-operational states

Maintenance

A Maintenance refers to any scheduled or unscheduled service task for an asset (e.g., inspection, repair, or replacement). Fleet managers can define their own types of maintenance tasks depending on operational needs.

Maintenance Status

The current service condition of an asset, automatically calculated based on thresholds, service intervals, and work orders.

🟢 Healthy – The asset is in good condition; maintenance is not yet due.

🟠 Due Soon – Maintenance is approaching based on defined thresholds.

🟣 In Workshop – A work order is scheduled and ongoing, but not yet completed.

🔵 Planned(coming soon) – A work order is scheduled for the future, but service hasn’t started yet.

🔴 Overdue – Maintenance is overdue; no valid or completed work order is present.

Maintenance Type

A specific kind of maintenance. These are customizable and can be reused across multiple assets and service intervals. Example Types:
Yearly Oil Check
Brake check
Tire check

Reseller

The top-level entity in the platform. Resellers manage their own set of accounts, can configure branding/UI themes, and operate independently.

Service Interval

The recurring schedule for a maintenance type. This can be based on:
Time (e.g., every 90 days)
Distance (e.g., every 10,000 km)
Engine hours (e.g., every 500 hours)

Threshold

The early warning period before the actual service interval is reached.
Example: If the interval is 100 days and the threshold is 10 days, the asset will be marked “Due Soon” on day 90.

Tracker

A Tracker is the physical GPS tracking device installed in an Asset.
It collects data such as location, movement, engine status, and sometimes sensor data (e.g., temperature or door status), and sends it to the platform in real-time.

Tracker Status

The state of a GPS tracking device.
Possible statuses:
Active – Sending data and linked to an asset
Blacklisted – Blocked from operation
Not Active – Powered off or never activated
Returned / Archived – No longer in circulation

Work Order / Service

A work order is a collection of maintenance tasks (items) bundled into a service event. It serves as a log or invoice for completed or upcoming maintenance jobs

Work Order Item

A single, actionable maintenance task inside a work order.
Example items:
Oil Replacement
Filter Change
Brake Inspection
